Arton Approval Application: Document Submission & Tiered Approval

Arton Approval is a web application for companies and institutions that want to stop chasing signatures on paper, chat, and email. Employees submit purchase requests, leave, contracts, or memos; documents automatically travel to supervisors, finance, and directors according to the rules; each approver sees the document, comments, and history on one screen; and the final result can be verified by anyone via a QR code.

How it works

1. ArtonLabs installs the application and works with you to set up departments, supervisors, document types, and approval flows.
2. Employees create documents, attach files, and submit them.
3. Approvers receive notifications, review the documents, then approve, reject, or return them.
4. Completed documents receive a verification code; auditors and management monitor reports and audit trails.

What you get

Services and fees

• Initial fee of Rp3,500,000: installation & initial setup by ArtonLabs, brief training, plus server, maintenance, and support for the first year.
• Starting from the second year, Rp1,000,000/year (mandatory to keep the service running): server & HTTPS, routine backups, version updates, bug fixes, and technical support via cs@artonlabs.com.
• The application runs on servers managed by ArtonLabs and is used via a browser; there are no downloads or self-installation.
• Use your own domain; if you don't have one yet, you get a free ArtonLabs subdomain.
• Data remains yours; if the service is not renewed, the application is stopped and all data is handed over in export form.
• No per-user or per-document fees from ArtonLabs.

Frequently asked questions

Is the electronic signature certified?
No. Arton Approval records simple electronic approvals — who approved, when, and on which file version (SHA-256 hash) — in a hash-chained audit trail, with an optional "simple signature" (typed or drawn name). This is not a certified electronic signature from an Electronic Certification Provider (PSrE) under the ITE Law and PP 71/2019, and does not provide e-meterai. Integration with a PSrE can be discussed as a future development.

Can the flow be customized to our organizational structure?
Yes. Departments, direct supervisors, stages, parallel steps, value conditions, SLAs, and escalation are configured yourself through the flow designer, complete with simulation before use.

What if an approver is on leave?
Approvers can create a delegation to a colleague for specific dates, and documents that pass the deadline are automatically escalated to their supervisor. Administrators can also reassign an approver with a recorded reason.

Are WhatsApp reminders sent automatically?
No. The WhatsApp button opens a ready-to-send message (wa.me) that is sent from your own WhatsApp; there is no WhatsApp Business API integration. Automatic notifications are available in the app and via email.

Who can view documents?
Only the submitter, approvers whose turn has come, observers, the relevant department head, and special roles such as administrator and auditor — checked on the server for every request.
